Goubz Learning Academy (“we”, “us”) runs this website and a private staff system used to manage enrollment. This policy explains what information we collect from families, how we use it, and the choices you have.

Information we collect

Contact and tour requests: your name, email, phone number, preferred contact method and message.
Enrollment forms: parent or guardian details, address, household size, employment or school status (to check eligibility for PHL Pre-K or CCIS), children's names, dates of birth, program and schedule, authorized pickup people, and the acknowledgements you sign.
Documents you upload or sign through a secure link we send you, such as immunization records, health assessments and enrollment agreements.
Technical information: basic request data such as browser type and a one-way hash of your IP address, used to prevent spam and abuse.

How we use it

To answer your questions, schedule tours and send reminders.
To process enrollment, keep required child and family records, and run our programs safely.
To help you apply for PHL Pre-K, CCIS (Child Care Works) through the Early Learning Resource Center, and the USDA Child and Adult Care Food Program, when you ask us to.
To bill tuition and fees, if you are a private-pay family.
To meet licensing, health and legal requirements.

Who we share it with

We do not sell your information. We share it only:

With government programs you apply for through us (PHL Pre-K, the ELRC / CCIS, CACFP) and with licensing or health authorities when the law requires it.
With service providers that run our systems on our behalf: website and database hosting, email and text-message delivery, and payment processing (Stripe). They may use the information only to provide those services.
If needed to protect a child's safety or as required by law.

Text messages

If you opt in, we send text messages about your tour and your child's enrollment. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. We do not share your mobile number for marketing.

Children's information

Information about children is provided by their parents or guardians. This website is not directed to children, and we do not knowingly collect information directly from children.

Keeping it safe

Family records are stored in a private system that only authorized staff can access. Document links we email you are unique, expire, and only show your own family's forms. No system is perfectly secure, so please contact us right away if you think a link was shared by mistake.

How long we keep it

We keep enrollment and attendance records for as long as Pennsylvania child care regulations and the programs we participate in require, then delete them. Inquiries that don't lead to enrollment are deleted after a reasonable period.

You can ask to see, correct or delete your family's information, subject to records we must keep by law. Contact us using the details below.
